Why Do I Need A Wedding Planner

When Jeff Bezos and Lauren Sánchez tied the knot in Venice from June 26–28, 2025, their three-day wedding became a global spectacle of elegance and logistical mastery. With around 200 to 250 guests—including Oprah, Leonardo DiCaprio, and Kim Kardashian—moved across multiple venues by boat, every detail was orchestrated by three lead planners and a team of over ten coordinators.

Their festivities began with an exclusive welcome dinner at Madonna dell’Orto, followed by the main ceremony at the San Giorgio Maggiore basilica, and concluded with a grand reception at the Venetian Arsenal. Guests arrived on about 30 water taxis, stayed at five luxurious hotels (including the Aman and Gritti Palace), and enjoyed over 80% Venetian vendors—from Murano glass to local pastries

Performances by Ellie Goulding, Matteo Bocelli, Usher, and DJ Cassidy added to the majestic atmosphere. The planners even integrated heartfelt details like artisanal tableware and eco-friendly amenities, ensuring the celebration remained both lavish and locally conscious.

Why Wedding Planners Matter—for Couples, Vendors, and the Day Itself

Imagine arriving at your venue without a single worry. Your planner greets you with a schedule that’s been thoughtfully mapped out to the minute: speeches at 4 pm, first dance at 7 pm, sunset portraits at exactly 6:45 pm to capture that golden glow. For us as photographers and videographers, this clarity is a gift. We know precisely where to be and when, so we can focus on telling your story rather than scrambling for details. When every wedding moment is realistically timed—based on the layout of your venue, the flow of your day, and even the path of the sun—we can guarantee coverage of every smile, every laugh, every tear.

But planners do more than set timelines. They’re the unsung heroes keeping everyone comfortable. Think back to those long, hot afternoons on a sprawling estate: without strategically placed water stations, snack breaks, and vendor rest areas, even the most seasoned pros can lose steam. A planner anticipates these needs, making sure no one—guest or vendor—is left wilting under the sun. That means your florist’s arrangements stay fresh, your band keeps playing, and your photographers have the energy to chase every perfect shot.

And couples often don’t realize how many tiny details there are behind the scenes. That gorgeous tablecloth? Its length needs to be perfect for both aesthetics and safety. The way the tables are arranged affects not just the look of your reception photos, but whether guests can move freely between courses. Coordinating guest transport, signage, and even restroom directions can make or break the flow of your day. All of these details fall into your planner’s capable hands, so you and your partner can be fully present—sipping champagne, greeting loved ones, and savoring every moment.

How Many Planners Are Right for Your Day?

Every wedding is unique, but a helpful rule of thumb is: the larger the guest list and the more complex the venue, the more hands you’ll want on deck. For an intimate gathering of 50–75 people, a lead planner plus one assistant often covers all bases. If you’re planning for 150 or more guests across multiple spaces, three lead planners supported by six to ten coordinators can ensure nothing slips through the cracks. Too few planners, and details get overlooked; too many, and communication can become tangled. Your planner will know exactly how big—or small—your team should be.

Over the years at Still Miracle, we’ve had the privilege of working alongside some of the industry’s top planners. We’ve watched them transform chaotic to-do lists into graceful timelines, reroute logistics around last-minute weather changes, and keep spirits high with well-timed coffee breaks. Every time we collaborate with a skilled planning team, the difference is clear: photos flow more smoothly, video coverage feels effortless, and the couple truly enjoys their own celebration. That sense of ease radiates through every frame we capture, resulting in images that feel as joyful and effortless as your love story.
